Reading results

Read counted, estimated and assigned pages separately. Check file coverage, spreadsheet cells and excluded files before using a FileTally total.

FileTally 1.0 · Windows and Mac

Read the count basis

Below the total, FileTally shows how many pages were counted and how many were estimated. Count details breaks this down further.

Counted
Read from the file, such as PDF pages, TIFF frames or slides. Check the file’s status and details; a counted figure does not remove format or access limits.
Estimated
Calculated from content and layout settings on a standard page, such as Word body text or a spreadsheet’s used range, and marked with ~. Actual printed pages may differ. Keep the estimate label with the number.
Assigned
A page value set by a rule, such as one page per image. It is an assumption, not a measurement of the document. Disclose it with the report.
Excluded
A file that could not be counted, such as one that needs a password or permission, an unsupported file type or a file that couldn’t be read. Open Review to see the reason. An excluded file adds no pages; it is not a zero-page document.

Keep pages, cells and files separate

Pages describe a page contribution. Spreadsheet cells count populated workbook cells and are shown beside the total. Files describe the inventory. Cells and worksheets are not pages and are never added to page totals.

Spreadsheet pages are estimated from each sheet’s used range on a standard page grid, not from the saved print area. The spreadsheet guidance explains what to review.

Check what the total covers

The results show how many known files the total came from, such as “Counted from 8 of 10 known files”, and how many files were excluded. A ZIP container is listed alongside the files inside it and adds no pages of its own.

An inaccessible folder represents unknown files and pages. FileTally reports its contents as unscanned, not empty. An unsupported file has no verified page count. Neither means zero pages. A scan you cancel is labeled Scan stopped early and does not establish the size of the unscanned remainder.

Searching or filtering the file list does not change the scan. Keep the overall summary and exclusions with a filtered handoff.

An example of clear reporting

66 pages: 52 counted, 14 estimated

Counted from 8 of 10 known files · 1,308 spreadsheet cells reported separately · 2 files excluded: one needs a password, one is an unsupported file type

This is a sample folder of invented files, not a live result. The estimates could differ from a printout, and the excluded files could contain more pages. Keep both qualifications beside the number.
