Most page-counting advice assumes one PDF on your screen. The real job is usually a folder: PDFs, Word drafts, Excel schedules, slide decks, scanned TIFFs, saved emails, a ZIP someone sent last week. If the result feeds a quote, a production or a vendor handoff, "roughly" is not good enough.

What a complete page count needs

  • Every format. Each file type stores pages differently. A tool that skips formats gives you a low total without saying so.
  • Honest statuses. Exact counts, estimates and failures must be told apart before anyone adds them up.
  • An export. One row per file, so the next person can check your number.
  • Local processing. Client files, records and HR documents shouldn't be uploaded just to be counted.

How each format is counted

File types FileTally counts and how each is counted
FormatHow FileTally counts it
PDFExact page counts read from the file itself.
Word DOC, DOCXWord automation when Microsoft Office is installed; document metadata otherwise, labelled so you know which.
Excel XLS, XLSXPrinted pages from each sheet's print area and page layout. Not cells, not sheets.
PowerPoint PPT, PPTXOne page per slide.
TIFFEvery frame in a multi-page TIFF.
Images JPG, PNG, BMPOne page each, or left blank. Your call.
Email MSG, EMLOutlook and standard email messages.
Text TXTEstimated from characters and lines per page, and marked Estimated.
ZIPSupported archives extracted locally, then counted with everything else.

Exact, Estimated and Action needed

A total is only as good as its weakest number. FileTally marks every file before export:

  • Exact Counted directly from the file: PDF pages, TIFF frames, slides.
  • Estimated Counted by a documented rule, such as characters per page for text files. Labelled, so the recipient knows what is approximate.
  • Action needed Password-protected, damaged or unreadable. Listed with the reason and kept out of the verified total.

Why this matters is the subject of our article on silent zeros in mixed folders.

ZIP archives

Archives hide pages. FileTally extracts supported ZIP archives locally and counts the files inside with everything else. Extraction happens on your PC, and the original archive is left as it was.

Email: MSG and EML

Saved Outlook messages (.msg) and standard email files (.eml) are counted in the same scan as everything else, so an email folder doesn't need a separate tool.

The workflow, start to finish

  1. Choose the folder. Subfolders are included.
  2. Let FileTally unpack supported ZIPs so their contents are counted.
  3. Scan and review. Resolve or note anything marked Action needed.
  4. Export CSV or XLSX, or save a printable PDF summary.

When another tool fits better

If you need to edit, redact or Bates-number PDFs, use Acrobat. If your folders are only TIFF and PDF and you need DPI reports, Tiff Teller is built for that. If you are running a full review, use an eDiscovery platform. Our comparison hub covers each one with sources. FileTally is for the count itself: every page, every format, with a record. The 7-day trial starts on your first scan.

Questions people ask

How do I count the pages in all the files in a folder on Windows?

Use a page counter that reads every format. In FileTally, choose the folder and run the scan. It counts PDF, Word, Excel, PowerPoint, TIFF, image, email and text files in the folder and its subfolders, then exports the results.

What does Estimated mean in FileTally?

Estimated means the page count came from a documented rule rather than directly from the file, for example characters per page for a text file. It is labelled so the recipient knows the figure is approximate.

Can FileTally count pages inside ZIP files?

Yes. FileTally extracts supported ZIP archives locally and counts the files inside with the rest of the folder. Nothing is uploaded.

Does FileTally work on Mac?

FileTally is being developed for Windows, Mac, iPad and iPhone. Windows 10 and 11 are available now; native Mac, iPad and iPhone apps are coming soon.
